ViaVib

Terms of use

Last updated 24 October 2026.

These terms apply to ViaVib accounts and use of our website and business tools. ViaVib is operated by VIAVIB TECHNOLOGY LTD, company number 17513989, registered in England and Wales at 81 Bascombe Grove, Dartford, DA1 3RH, United Kingdom. Contact info@viavib.com or support@viavib.com.

1. Accounts and authority

Give accurate account information, keep sign-in details secure and use only accounts and businesses you are authorised to manage. Business managers are responsible for the permissions they give team members and must remove access when it is no longer appropriate. Follow the verification and security steps shown for your account. Tell us promptly about suspected unauthorised access.

2. Services and availability

ViaVib provides customer connections, marketing and messaging, loyalty, business pages, bookings, social content and other tools as they become available. Availability depends on the service, your plan, business approval, configuration and third-party permissions. A listed, preview or draft feature is not a promise that sending, payments, advertising or public publishing is enabled. In particular, customer TikTok publishing is not currently available; preparing or saving a TikTok draft does not publish it.

3. Customer choices and business marketing

Customers can change their sharing and channel choices, unsubscribe, disconnect from a business and request account deletion. Businesses must respect these choices, applicable marketing law and the recipient permissions required by ViaVib. Do not use uploaded lists or another person's contact information to bypass consent, suppression or platform restrictions. Service messages must not be used to disguise marketing.

4. Content, scheduling and consent

You keep ownership of content you upload. You give ViaVib and the service providers needed to deliver your instructions permission to host, process, format and transmit that content for the requested service. This permission does not transfer ownership or allow us to sell your content.

Businesses are responsible for their content, accuracy, intellectual property and music rights, permissions from people featured, commercial disclosures, chosen audience and publication time. Before scheduling, the responsible user must confirm that they are authorised to publish the material and accept responsibility for those publishing choices. ViaVib records the confirmation, user and time. Changed content or settings may require a new confirmation.

A scheduled item is intended for the audience and time selected; it is not made public simply because it has been scheduled. Do not upload material you are not entitled to process or publish. Your confirmation does not remove ViaVib's responsibilities for its own handling, security or applicable data protection duties.

Where cancellation is available, cancel before dispatch. Cancellation or disconnection may not recall a file already downloaded or a message, post or advert already accepted by a third party. Saving a draft is not confirmation of successful publication. Check the displayed status and report ambiguous outcomes before trying again to avoid duplicates.

5. Connected social accounts and advertising

Connect only social accounts, Pages and advertising accounts you are authorised to use. You must also follow the relevant network's terms, content rules and advertising policies. Permissions, account restrictions, moderation, outages or expired access can delay or prevent delivery. ViaVib does not guarantee approval, audience reach, inbox placement, publication at an exact instant or advertising results.

Use the posting and advertising controls to review content, settings and any costs before confirming. Do not bypass disabled features, review restrictions or spending controls. Disconnecting an integration removes its stored connection access where supported; content or advertising already present on the network may need separate action in that network's own account.

6. Prices, credits and payments

Applicable prices, usage units, taxes and any recurring billing terms must be shown before you confirm a purchase or chargeable action. Messaging credits, advertising funds and promotional credits may have different rules; check the details for the specific balance. A feature being visible does not mean a payment or sending service is live.

Used credits cover services already supplied. This does not exclude a refund, correction or other remedy where required by law or the applicable purchase terms. Contact support about incorrect charges, failed delivery, unused paid balances or cancellation; refunds depend on the transaction and applicable rights. Promotional credits do not represent cash paid by you. Cancelling a recurring service does not by itself recall completed services or remove outstanding lawful charges.

7. Membership tiers, module access and upgrades

ViaVib may display all available business modules in the menu even when a module is not included in your membership. A visible menu item is not an entitlement to use it. Modules outside the active plan may carry an “Upgrade” label and remain restricted until the relevant membership is purchased, activated and verified. Feature access may also depend on business verification, third-party approvals and staged rollout. A designated internal test business may have broader access for testing; this does not extend access to other businesses.

Founding-supporter memberships are presented as Bronze, Silver, Gold and bespoke Premium Gold, with the included modules and allowances displayed at the point of selection. Premium Gold is individually quoted and is not an automatic entitlement to every third-party feature. Where checkout or activation is marked “coming soon”, selecting a pack does not take payment or activate a membership. We will show the actual available features, prices, taxes, renewal and cancellation terms before accepting payment.

During an active 12-month membership, businesses may request an upgrade to an eligible higher tier. When the upgrade facility is enabled, we intend to offer two choices: (a) pay the prorated difference for the unexpired portion of the current commitment, keeping its expiry date; or (b) begin a fresh 12-month commitment at the higher tier, applying any eligible credit for unused prepaid membership value. The checkout must show the credit, total due, start date and expiry date before confirmation. Unused prepaid value must not be credited twice, including across successive upgrades. Promotional and standard-price purchases may have different applicable rates, which must be shown before payment.

Downgrades are not available during an active 12-month commitment; a fresh 12-month upgrade starts a new commitment. After the commitment ends, a lower-tier option may be selected subject to the renewal terms shown at that time. If a membership expires, paid modules may be suspended while the underlying business records remain subject to our retention and deletion policy. These are the planned membership rules and do not mean automated upgrade checkout is currently live. Any statutory cancellation or refund rights take precedence over these restrictions.

8. Bookings, products, tickets and rewards

The relevant business is responsible for its goods, services, prices, availability, booking and event details, reward conditions and any cancellation or refund policy shown before purchase. ViaVib supplies platform tools unless a particular transaction expressly states otherwise. Do not share personal check-in codes or use someone else's payment details without authority. VVpoint rewards are not cash. Shared VVpoint may be redeemed with businesses participating in that shared programme. Business-only points and stamps follow the issuing business programme; leaving a business may forfeit those balances after the balance preview and explicit confirmation.

9. Acceptable use

Do not upload unlawful or misleading material, infringe rights, send spam, impersonate people, exploit accounts, attempt unauthorised access, interfere with security or abuse payment and reward systems. We may investigate reports and restrict content, campaigns or accounts where reasonably necessary for security, legal obligations, payment risk or enforcement of these terms. Contact support if you believe a restriction is wrong.

10. Privacy and service providers

Our Privacy policy & cookies explains personal data, providers, retention, rights and connected accounts. Our Data deletion page explains deletion requests. Businesses remain responsible for the lawful instructions they give us and for their own use of customer data. Each party retains the duties the law assigns to it; a publishing confirmation is not a waiver of those duties.

11. Ending use and changes

You can stop using ViaVib, disconnect integrations and use available account-deletion controls or contact support. Some records may need to be retained for legal, accounting, security or dispute purposes as explained in the privacy policy. We may change features or these terms; material changes will be notified through the website, account or email as appropriate. Changes do not retrospectively remove rights for services already purchased.

12. Data, security and business responsibilities

Businesses must only use personal data, mailing lists and imported contacts they are authorised to process and must provide appropriate notices and obtain any consent required by UK GDPR and PECR. Each organisation is responsible for its staff permissions, customer-facing offers, service fulfilment, and lawful handling of its own customer information. ViaVib may require additional verification, approval or step-up authentication before sensitive actions, such as exporting permitted records or connecting sending channels. Businesses must not circumvent plan restrictions through direct links, API calls or another account.

AI-assisted drafting and generation, if available, produce suggestions that must be checked for accuracy, intellectual-property rights, misleading claims, discrimination and platform compliance before use. Do not enter unnecessary sensitive personal data into AI prompts. Third-party integrations and provider services remain subject to their own terms and availability.

13. Your legal rights and responsibility

We will provide our services with the care and skill required by applicable law. Nothing in these terms excludes liability for fraud, death or personal injury caused by negligence, or anything else that cannot lawfully be excluded. Nothing removes consumer rights to services or digital content that meet the legal standard, or remedies where they do not.

English law applies, subject to mandatory rights that apply where a consumer lives. Consumers may bring proceedings in courts available to them under applicable law. Contact support first so we can investigate a problem; this does not restrict your right to complain to a regulator or seek a legal remedy.

14. Optional business services

The following current conditions apply to the corresponding business service. A verified business manager accepts the exact version separately before activation; accepting them does not grant marketing consent or turn on optional AI features.
